Job Summary:
The Membership Accounting Coordinator supports operations led by the Membership Account Manager, including the management of member accounts, maintenance of accurate membership records, and assistance with day-to-day tasks. Responsibilities involve updating account statuses, assisting members and guests with financial records, and managing billing and invoicing to promote positive member relations and retention. This role requires strong organizational skills, excellent communication, and a commitment to delivering high-quality customer service. Key
Responsibilities include, but are not limited to:
- Assist with processing monthly membership dues and daily invoices
- Following up with members regarding outstanding bills and renewals
- Generating invoices, receipts, and account statements for members and guests
- Assist with collection payments from members
- Assisting with membership retention by supporting the Membership Account Manager in recovering members who consider cancellation
- Responding to emails and phone calls related to membership accounts and guest invoice inquiries
- Updating, activating, or deactivating membership status based on member requests
- Assisting members with issues on the club portal and app
- Monitoring and documenting member resignations through personal contact and reporting issues or concerns to the Membership Account Manager
- Reporting technical issues in PeopleVine and Seven Rooms systems to the Membership Account Manager
- Supporting synchronization eƯorts between the PeopleVine and Seven Rooms systems
- Delivering exceptional customer service to members, resolving concerns via email or telephone in a professional manner
- Reporting concerns related to processes, systems, and policies to the Membership Account Manager
- Performing other duties as required by the Membership Account Manager Qualifications Experience
Qualifications
- Minimum of 2 years in a business-related role, preferably in the hospitality industry
- Minimum of 2 years in membership administration, customer service, or a similar role, with experience in a membership-based organization preferred Skills
- Proficiency in Microsoft Excel and Word
- Basic familiarity with Membership Tracking and Reservation Systems, as well as exposure to Opera Cloud, Micros Property Management, or POS systems, is a plus.
- Strong English communication skills (reading, writing, and speaking)
- Excellent interpersonal, organizational, and analytical skills
- Ability to maintain composure, stay calm, and exhibit a positive attitude
- Detail-oriented with the ability to work eƯiciently and accurately
- Collaborative team player capable of working independently with minimal supervision
- Ability to handle confidential information with discretion
